This Privacy Policy explains how Lumivo LLC (“Lumivo,” “CapyCue,” “we,” or “us”) collects, uses, discloses, and protects information when you use CapyCue websites, applications, APIs, recordings, embeds, and support channels.
1. Information we collect
- Account and profile data: name, email address, Lumivo Passport identifiers, organization, workspace membership, roles, preferences, and authentication events.
- Billing data: plan, seats, invoices, credits, usage, transaction and refund records. Payment-card details are handled by our payment provider and are not intended to be stored by CapyCue.
- Customer Content: screen recordings, uploaded media, audio, representative screenshots, transcripts, walkthrough text, captions, synthetic voiceovers, brand assets, comments, and versions.
- Usage and device data: IP address, browser and device information, timestamps, pages and features used, recording and export events, embed views, diagnostic data, request logs, errors, and security signals.
- Communications: support messages, feedback, survey responses, and other information you choose to provide.
2. How we use information
We use information to provide and operate CapyCue; authenticate users; store and process recordings; create AI-assisted transcripts, steps, captions, scripts, and speech; publish and serve embeds; measure usage and costs; bill customers; prevent abuse and fraud; troubleshoot and secure the service; communicate with you; comply with law; and improve product quality.
3. AI processing
When you request AI enhancement, CapyCue currently extracts audio and a limited set of representative screenshots from your recording. We send the extracted audio to OpenAI for transcription, and send the transcript, recording title, and representative screenshots to OpenAI for walkthrough analysis. We send approved narration text to OpenAI to generate synthetic speech. The original video is stored and processed in our Azure environment and is not currently sent to OpenAI as one complete video file. See the AI Processing Disclosure for more detail.
OpenAI states that API data is not used to train its models unless the customer explicitly opts in. Provider retention and abuse-monitoring practices depend on the endpoint and account configuration. CapyCue does not promise zero data retention unless that control is expressly included in your written plan.
4. How we disclose information
We may disclose information to service providers that help us operate CapyCue, including cloud hosting and storage, identity, AI processing, payments, communications, analytics, monitoring, customer support, and security vendors. We may also disclose information at your direction; to workspace members and viewers according to your sharing settings; in connection with a business transaction; to protect rights, safety, and service integrity; or when required by law.
We do not sell personal information for money. We do not use Customer Content for third-party targeted advertising. If our practices change, we will update this policy and provide any legally required choices before the change applies.
5. Public links and embeds
Content you mark public or share through an accessible link can be viewed by others, embedded on third-party sites, and potentially copied or redistributed. Embed owners may collect their own analytics. Review privacy settings and recorded content before sharing.
6. Retention
We retain account, billing, Customer Content, and usage information for as long as reasonably necessary to provide the service, satisfy the purposes described above, resolve disputes, enforce agreements, and meet legal obligations. Retention varies by data type, plan, version-history settings, backup cycle, and legal need. Deleted content may remain in backups for a limited period before secure expiration. Provider-side retention may differ as described in their terms and our AI disclosure.
7. Security
We use safeguards designed to protect information, including access controls, encryption in transit, protected cloud storage, authentication, monitoring, and least-privilege practices. No method of transmission or storage is completely secure. You are responsible for choosing appropriate recording sources, limiting sensitive information, securing account credentials, and configuring sharing permissions.
8. Your privacy choices and rights
Depending on where you live, you may have rights to confirm processing, access, correct, delete, or obtain a portable copy of personal data, and to opt out of certain targeted advertising, sales, sharing, or profiling. You may also have a right to appeal a denied request.
Submit a request to support@capycue.com or through the account controls made available in CapyCue. Describe the request and the account involved. We may verify your identity and authority before acting. You do not need to create a new account solely to make a privacy request. If we deny a request, reply with “Privacy Appeal” to request review. Authorized agents may submit requests where permitted by law.
9. Cookies and analytics
We use necessary cookies and similar technologies for authentication, security, preferences, and service operation. We may use limited analytics to understand product performance and adoption. See the Cookie Policy for details and available choices.
10. Children's privacy
CapyCue is a business productivity service and is not directed to children under 13. Users must be at least 18. Do not submit personal information about children unless you have a lawful basis, appropriate authority, and any required parental consent. Contact us if you believe a child has provided information in violation of this policy.
11. International use
CapyCue is operated from the United States. Information may be processed in the United States and other locations where our providers operate. Where required, business customers may request the Data Processing Addendum and applicable transfer terms.
12. Changes to this policy
We may update this policy to reflect product, provider, or legal changes. We will post the updated version and change the effective date. We will provide additional notice when required by law.
